Administrative Assistant

POSITION
Summary:
We are seeking a highly engaged, resolution and detailed oriented Executive Assistant to provide direct administrative support for our Executive leadership team in daily operations. This individual will need to prioritize, coordinate, and manage projects, tasks and requests of the Executive Management team for efficient operations, and to reduce and simplify workload of the Executive staff.
ESSENTIAL DUTIES & RESPONSIBILITIES
Organize activities such as meetings, travel, corporate events and other activities; arrange detailed travel plans and itineraries and compiles documents for travel related meetings.
Prepare agendas, notices, and minutes for corporate meetings; compose and prepare confidential correspondence, reports and other complex documents.
Coordinate meetings and all associated needs including catering and materials.
Complete travel and expense reports for executives in a timely manner.
Organize and submit monthly reports and invoices.
Prepare Power Point presentations and provide various Excel reports.
Effectively manage executive's schedules and conflicting priorities.
Manage administrative tasks and routine issues independently, ensuring timely completion of work with exceptional quality.
Anticipate and respond to changing situations.
Develop and demonstrate a solid working knowledge of the firm's structure, departments, key staff, and policies and procedures to be most effective in the role.
Resolve problems and issues.
Ensure strict confidence with highly sensitive and confidential information.
Perform other duties as assigned. Job Requirements Basic
Qualifications:
Minimum of 7
years of experience as an Executive Assistant.
Associate's degree in related discipline or equivalent combination of education and experience.
Exceptional communication skill and executive phone etiquette.
Ability to work in a fastpaced environment with demonstrated ability to juggle multiple competing tasks and demands.
High degree of initiative and problem solving.
Experience arranging domestic and global travel.
High degree of computer proficiency with Microsoft PowerPoint, Excel, Word
SAP administration and Concur Expense Reporting.
High level of interpersonal skills to interact with customers, executives, board members, and individuals at all levels in the organization.
Demonstrated ability to appropriately manage highly sensitive and confidential situations.
High level of demonstrated poise, tact and diplomacy.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
